Who we are
Jacinth Immigration Canada is a licensed Canadian immigration consultancy in Winnipeg, Manitoba, run by a Regulated Canadian Immigration Consultant (RCIC) licensed by the College of Immigration and Citizenship Consultants. In this policy, "we" and "us" mean Jacinth Immigration Canada, and "you" means anyone who visits this website, contacts us or becomes a client.
We handle personal information under Canada's Personal Information Protection and Electronic Documents Act(PIPEDA). As a licensed consultant we are also bound by our regulator's Code of Professional Conduct, which requires us to keep client information confidential.
What we collect
When you contact us through the form on this website, we collect your name, email address and, if you give them, your phone number and the service you are interested in, along with your message. We also record which page you sent it from, the page you arrived from, and basic information about your browser, so we can understand how people find us.
When you book a consultation, we collect the same details, the time you chose, whether you want a phone or video call, and your time zone so we can show you the right time.
When you become a client, we collect what your application needs. Depending on the application, that can include your identity and travel documents, date and place of birth, family members, education, work history, language test results, financial records, and completed government forms. We also keep records of our messages with you, the payments you make to us and any payment receipts you upload.
When you use the client portal, we collect your login email and the one-time codes we send you to sign in, and we record activity on your file, such as uploads and form submissions.
We only ask for what we need. Please do not send us immigration documents or detailed personal history through the contact form; we will ask for them securely if you become a client.
How we use it
- To reply to your enquiry and to follow up on it.
- To assess your options, prepare your application and represent you, if you engage us.
- To communicate with you about your file, including by email and through the portal.
- To keep the records our regulator and the law require us to keep.
- To run and secure this website and the client portal, and to understand in aggregate which pages are useful.
We do not sell your personal information, and we do not use it for advertising.
Your consent
We collect, use and share your information with your consent. When you send the contact form, you agree that we may store your details and contact you about your enquiry. When you engage us, your service agreement sets out how we will use your information to prepare and submit your application.
You can withdraw your consent at any time by contacting us. If you withdraw consent while we are working on an application, we may no longer be able to act for you, and we will explain what that means before we stop.
Where it is stored
Some of our service providers store and process information outside Canada, including in the United States. Our database and uploaded documents are stored in the United States. While it is there, your information is protected by our agreements with these providers, but it may be accessible to courts and authorities in that country under its laws.
How long we keep it
Enquiries that do not lead to an engagement are kept only as long as we need them to follow up, then deleted or made anonymous. You can ask us to delete an enquiry at any time.
Client files are kept for the period our regulator and the law require after your matter ends, then securely deleted.
How we protect it
- The website and portal only work over encrypted connections (HTTPS).
- Uploaded documents are stored privately. Each time you or we open one, the system checks you are allowed to see it and issues a link that expires within an hour.
- Only the consultant and staff working on your file can see it, and every staff action on a file is logged.
- Portal sign-in uses one-time codes sent to your email, so there is no password to steal.
No system is perfectly secure. If a breach of security safeguards creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as the law requires.
Your rights
You can ask us to:
- tell you what personal information we hold about you, and give you a copy;
- correct information that is wrong or incomplete;
- delete your information, where we are not required to keep it;
- stop contacting you.
Email us at info@jacinthimmigration.ca. We will confirm who you are before releasing or changing anything, and we will reply within 30 days.
Changes to this policy
If we change how we handle personal information, we will update this page and the date at the top. If a change is significant, we will tell clients directly.
